Office Administration Manager

We are seeking a dedicated Executive Office Manager to lead our office operations. This role is pivotal in ensuring our team delivers exceptional service while maintaining efficient administrative processes.
Key Responsibilities- Provide outstanding customer service by managing incoming calls and inquiries.
- Document and track leads effectively using our internal systems.
- Monitor accounts receivable to ensure timely collections, maintaining an average of less than 30 days.
- Oversee all accounting and human resources administrative tasks.
- Coordinate the company calendar and facilitate internal communications.
- Ensure proper scheduling of active projects to avoid conflicts.
- Manage invoicing, accounts payable, and cash flow management.
- Maintain accurate records of expenses and ensure timely payment of bills.
- Prepare and submit monthly sales tax and royalty reports.
- Administer payroll processes, including timesheets and deductions.
- Oversee employee benefits, including 401K and health insurance.
- Ensure compliance and accuracy in employment records.
- Assist with warehouse duties and customer content management.
- Support data entry for project estimates.
- Perform additional tasks as assigned.
- Minimum of 2 years of experience in office management, accounting, or customer service.
- Proficient in QuickBooks and Microsoft Office Suite.
- Strong leadership skills with a proven ability to build effective teams.
- Experience in remediation services is a plus.
- Excellent organizational skills with a keen attention to detail.
- Strong written and verbal communication skills.
- Self-motivated and capable of multitasking in a dynamic environment.
- Ability to learn new software and systems quickly.
- Experience in a customer service-oriented environment is advantageous.
- A college degree is preferred.
- Must be able to pass a background check as required by law.
This is a full-time position requiring 40 hours per week, with flexibility for overtime as needed.
