Position: Executive Office Manager

Are you passionate about leading a team and enhancing customer experiences? As an Executive Office Manager, you will play a crucial role in ensuring the smooth operation of our franchise office. Key Responsibilities
  • Provide exceptional customer service by managing incoming calls and inquiries.
  • Maintain accurate documentation of leads and oversee the Work In Progress board.
  • Monitor accounts receivable to ensure timely payments and maintain collections below 30 days.
  • Handle all accounting and HR administrative tasks efficiently.
  • Coordinate the company calendar and facilitate effective communication within the franchise.
  • Ensure proper scheduling of active jobs to avoid conflicts.
  • Oversee invoicing, accounts payable, and cash management processes.
  • Organize expenses, maintain receipts, and ensure timely payment of bills and invoices.
  • Prepare and submit monthly sales tax returns and royalty reports.
  • Manage employee timesheets, deductions, and bi-weekly payroll.
  • Administer 401K and health insurance plans and ensure accurate payments.
  • Maintain accurate employment files and records.
  • Assist with warehouse duties and customer content management.
  • Support data entry for estimates and perform other assigned tasks.
Qualifications
  • Minimum of 2 years of experience in office management, accounting, or customer service.
  • Proficient in QuickBooks and Microsoft Office Suite.
  • Demonstrated leadership skills with a focus on team building.
  • Experience in remediation is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication abilities.
  • Self-motivated and capable of multitasking in a fast-paced environment.
  • Ability to learn new software quickly.
  • Experience in a customer service-oriented environment is advantageous.
  • A college degree is preferred.
  • Must be able to pass a background check as required by law.
Work Schedule

Full-time position, 40 hours per week, with flexibility for overtime as needed.
