Executive Administrative Coordinator

As an Executive Administrative Coordinator at The Reserves Network Inc, you will provide essential support to a dynamic leader within the higher education sector. This role encompasses a range of sophisticated, varied, and confidential administrative responsibilities, including fostering relationships with community stakeholders, staff, and other entities to promote educational programs and advocacy initiatives.

Key Responsibilities:
  • Facilitate and manage intricate administrative and organizational functions for the department, which includes both written and electronic communication, scheduling of appointments, coordination of internal and external meetings, and travel arrangements.
  • Offer technical support to colleagues and oversee project management tasks; responsible for data gathering and collaborative efforts, including the composition and refinement of various documents such as publications, grant proposals, and meeting records.
  • Create and design promotional materials such as brochures and flyers; research potential funding opportunities and oversee the grant application process, including organizing team meetings and drafting grant submissions.
  • Effectively communicate and coordinate directives with various individuals or departments.
  • Organize appointments and facilitate meetings, conferences, and travel logistics.
Qualifications:
  • Associate degree or equivalent professional experience; a bachelor’s degree is preferred.
  • 6-8 years of experience in administrative support and office management.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational skills with the ability to manage time efficiently.
  • Experience in project management.
  • Exceptional writing and editing capabilities.
  • Ability to handle multiple tasks in a fast-paced environment.
  • Effective verbal and written communication skills.
  • Ability to collaborate with individuals at all organizational levels.
  • Commitment to maintaining confidentiality.
  • Skill in prioritizing tasks amidst competing demands in a deadline-driven setting.
  • Ability to work collaboratively within a team and manage time effectively.
