Position Summary

The Operations Administrator plays a crucial role in managing various office functions, including invoicing and basic bookkeeping. Responsibilities include monitoring revenue, tracking customer payments, preparing invoices, and maintaining accurate records.

Key Responsibilities
  • Establish and oversee billing procedures according to specific funding sources.
  • Gather necessary information for calculating receivables.
  • Ensure timely follow-up on receivable approvals.
  • Assist in the distribution of awarded projects to management.
  • Support office management and data entry tasks.
  • Monitor project progress and manage payment reminders.
  • Report activities to senior management.
  • Streamline billing and collections processes.
  • Perform basic bookkeeping tasks and issue invoices.
  • Facilitate month-end closing for billing information.
  • Assist with special billing programs and implementations.
  • Handle customer service inquiries and escalate issues as needed.
  • Manage incoming and outgoing correspondence.
  • Prepare and maintain both paper and electronic documents.
  • Assist project managers with project setups and closeout activities.
  • Communicate effectively with clients and team members.
  • Perform additional duties as assigned.
Qualifications
  • High school diploma or equivalent; a college degree is preferred.
  • Experience with billing processes, particularly for telecommunications projects.
  • Familiarity with office procedures and basic accounting.
  • Proficient in MS Office Suite.
  • Previous experience in a clerical or administrative role.
  • Ability to manage multiple projects independently.
  • Strong communication and customer service skills.
  • Attention to detail and organizational skills.
Physical Requirements
  • Regularly required to sit, use hands, and communicate verbally.
  • Occasionally required to stand, walk, and lift items up to 25 pounds.
