Job Description

Our company, HR&Co. LLC, is seeking a highly skilled and organized Executive Assistant to provide comprehensive support to our managing partners. The ideal candidate will have a strong background in administrative tasks, excellent communication skills, and the ability to work in a fast-paced environment.

Key Responsibilities:

  • Manage complex calendars, including scheduling meetings, appointments, and events for managing partners.
  • Prioritize and coordinate incoming emails, correspondence, and requests.
  • Ensure effective communication flow by disseminating important information to relevant parties.
  • Draft, proofread, and edit various written materials such as emails, reports, and presentations.
  • Assist in the preparation of documents and materials for meetings and presentations.
  • Conduct research and gather information as needed to support managing partners' projects and initiatives.
  • Provide administrative support to the managing partners, including travel arrangements, expense tracking, and file organization.
  • Collaborate with internal teams and external stakeholders to coordinate project activities and deadlines.
  • Serve as a point of contact for internal and external inquiries, redirecting them as appropriate.
  • Proactively identify and address potential scheduling conflicts or issues.
  • Maintain confidentiality and discretion in handling sensitive information.
  • Continuously seek opportunities to streamline processes and improve efficiency in administrative tasks.
  • Adapt quickly to changing priorities and deadlines in a fast-paced environment.

Requirements:

  • Bachelor's degree required.
  • 2-3 years of previous experience as an executive assistant.
  • Impeccable verbal and written communication skills.
  • Familiarity with all Microsoft Office and Google Suite products.
  • Ability to handle confidential material in an appropriately discrete and confidential manner.
  • Strong time management and multitasking skills.
  • Ability to work quickly under pressure.
  • Problem-solving and decision-making skills.
  • Ability to act as a gatekeeper, determining which information needs to be received by upper management.
  • Experience with Virtual tools, such as Zoom.
