Position Summary:
The Administrative Specialist for Grace Kids is tasked with delivering essential administrative assistance to the Grace Kids ministry (30 hours/week) and Grace Families ministry (10 hours/week). This role encompasses database management, event support, communication facilitation, scheduling, procurement, and various administrative responsibilities.

Key Responsibilities:

  • Communication Management:
    - Screen, direct, and prioritize communications for the Family Pastor.
    - Address confidential matters as needed.
    - Assist in organizing and managing Realm groups under the guidance of the Grace Kids Directors, including creating scheduling templates for serving teams.
    - Draft responses to routine inquiries and prepare various documents such as reports and memos.
    - Welcome guests and team members in the absence of the Family Pastor or Grace Kids Directors.
    - Collaborate with Grace Kids Directors to produce weekend materials.
    - Upload weekly lessons and videos to the ministry's website.
    - Oversee the integration process for new families joining Grace Kids.
  • Scheduling Coordination:
    - Manage the Family Pastor's calendar, ensuring no scheduling conflicts.
    - Organize departmental meetings and events for Grace Families staff.
    - Document and distribute minutes from meetings.
    - Handle room reservations and submit requests for AV, marketing, and graphics as necessary.
  • Support for Staff and Ministry:
    - Oversee the application process for team members in Grace Kids, Family VBS, and Grace GEMS ministries, including regular updates of background checks and annual safety training.
    - Procure resources and supplies for the ministries.
    - Create monthly newsletters and resources for Bible reading and memory verses.
    - Upload curriculum materials and manage printing and copying needs.
    - Maintain database groups and record attendance for Grace Kids.
    - Assist with event management and communications for various ministry activities.

Qualifications:
- Proficient in Microsoft Office 365 and other relevant software.
- Highly organized with the ability to prioritize tasks effectively.
- Maintain a positive demeanor and a servant's heart, even under pressure.
- Experience in managing multiple projects, events, and databases is essential.
- Graphic design experience is a plus.
- Minimum of 3 years of administrative experience required; 5 years preferred.

Work Schedule:
- In-office presence required, Monday through Friday, with flexibility for weekend work as needed.

Reporting Relationships:
- Directly reports to the Grace Kids K5 Director and collaborates with the Family Pastor on family ministry initiatives.
