Position Overview:
We are seeking a qualified candidate for the role of Medical Secretary - **Cancer Center/Breast Imaging**. In this capacity, the individual will be tasked with delivering essential support services for the Medical Office intake operations. Responsibilities include facilitating post-visit scheduling for patient appointments, treatments, and procedures in collaboration with various departments within the Medical Center. The role also involves obtaining necessary pre-authorizations and certifications for treatments and diagnostic tests as required. Additionally, the candidate may assist less experienced staff and provide coverage at the front desk when necessary.

Key Responsibilities:

  • Provide reception support, including greeting patients, answering phone calls, and directing requests to the appropriate personnel in a courteous and professional manner.
  • Perform various related tasks as requested by healthcare providers and supervisors.
  • Manage pre-authorizations and certifications, ensuring accurate procedure and diagnosis coding, and consult with physicians as needed for completeness and accuracy.
  • Coordinate inter-departmental scheduling for specialist appointments, scans, and procedures post patient visits, ensuring compliance with insurance coverage and physician directives.
  • Handle patient phone calls and appointment scheduling, collecting demographic data, verifying insurance eligibility, and coordinating pre-authorizations as necessary.
  • Maintain departmental records by tracking workload statistics and preparing information as instructed by supervisors.
  • Draft routine correspondence, documents, and maintain an organized calendar for meetings and conferences.
  • Assist in training and guiding junior staff in intake-related tasks.
  • Ensure the cleanliness and organization of the workspace, restocking supplies as needed and notifying supervisors of shortages.
  • Organize and maintain files for the department, ensuring easy retrieval and compliance with filing procedures.
  • Respond to patient inquiries to ensure understanding and satisfaction, maintaining confidentiality on sensitive matters.
  • Type various materials accurately and legibly, ensuring clarity in communication.
  • Foster professional relationships with physicians, nurses, and clinical staff.
  • Refer patients with insurance inquiries or financial concerns to the appropriate office personnel.
  • Monitor the intake work queue to ensure timely completion of tasks.
  • Scan and upload necessary documents into the intake system.
  • Oversee patient check-in and check-out processes, gathering required demographic information and verifying insurance details.
  • Prepare daily schedules and handle inquiries regarding appointments that do not require pre-authorization.

Minimum Qualifications:
A High School diploma is required, along with one year of relevant medical clerical experience, including prior experience in a physician practice and familiarity with medical terminology. Proficiency in computer skills is preferred, with accurate keyboarding abilities essential. Strong organizational, interpersonal, and communication skills are necessary.

Preferred Qualifications:
Experience with computer-based scheduling systems and excellent telephone communication skills are advantageous.
