Position Overview:

The Department Administrator (DA) plays a pivotal role in providing administrative oversight to the department. This individual acts as a key administrative assistant and strategic advisor to the Chair, ensuring that all administrative functions are executed efficiently. Responsibilities encompass budget management, grant oversight, policy development, program administration, and human resources functions to support departmental and institutional objectives.

Key Responsibilities:

  1. The DA serves as the primary contact for the department, addressing issues and resolving challenges for students, faculty, staff, and postdoctoral researchers across multiple labs and programs. This role requires proactive anticipation of departmental needs, including fiscal planning and staffing adjustments, to maintain operational efficiency.
  2. Direct management of departmental budgets, including forecasting, resource allocation, and monitoring expenditures, is a core responsibility. The DA ensures timely processing of invoices and proper accounting of all incoming funds.
  3. As the human resources liaison, the DA collaborates with HR to interpret policies, develop operational procedures, and negotiate agreements with vendors. This includes drafting necessary policy memos.
  4. The DA oversees all appointments and promotions within the department, managing processes from initial requests to final approvals. This includes onboarding and offboarding of personnel.
  5. Preparation and management of visa processing materials are also part of the DA's responsibilities.
  6. The DA is involved in pre-award grant submissions, acting as a liaison between principal investigators and the grants team to ensure compliance and timely completion of necessary documentation.
  7. Collaboration with other departments is essential to ensure adherence to organizational policies and legal requirements.
  8. Additional tasks include calendar management, travel coordination, event planning, and managing various faculty projects as needed.
  9. Fostering a culture of inclusivity and respect within the department is a fundamental expectation.
  10. Other related duties may be assigned as necessary.

Qualifications:

  1. A Bachelor's degree or equivalent experience is required.
  2. At least three years of relevant experience is necessary.
  3. Proficiency in Microsoft Office and web-based applications is essential.
  4. The ability to perform essential job functions with or without reasonable accommodation is required.
  5. Successful completion of a comprehensive background check is mandatory.

Preferred Qualifications:

  1. A Master's degree is preferred.
  2. Ability to manage diverse priorities and adapt to frequent changes is crucial.
  3. Exceptional organizational skills, independent judgment, and proactive problem-solving abilities are necessary.
  4. Strong attention to detail, communication, and interpersonal skills are highly valued. Experience in grant administration is advantageous.
  5. Prior supervisory experience is strongly preferred.
