Massachusetts Advocates Standing Strong (MASS) is a prominent self-advocacy organization dedicated to empowering individuals with intellectual and developmental disabilities. Our core mission is to foster self-advocacy through education, enabling individuals to make informed choices that enhance their quality of life.

We are seeking an Operations Manager to become an integral part of our team. In this capacity, you will play a crucial role in the coordination and management of the organization's financial and operational activities. Your responsibilities will include overseeing project-related tasks, managing invoicing for key initiatives, and developing annual project plans along with budget proposals. You will engage with MASS stakeholders, participants, Board members, and staff across the state. This position requires both virtual and in-person engagement at various organizational events and training sessions. The ideal candidate will be adept at meeting individuals in their environments and will possess strong communication skills across various platforms.

This role presents an excellent opportunity for someone passionate about mission-driven work, particularly in the realm of disability advocacy. Experience working with individuals with intellectual and developmental disabilities is advantageous.

Successful candidates will demonstrate strong organizational skills, the ability to meet deadlines, and the capacity to manage multiple projects and priorities effectively. We are looking for individuals with a minimum of 2-4 years of experience in project management and office administration, including supervision, reporting, payroll processing, Quickbooks management, and invoicing. Familiarity with tools such as Excel, Google Suite, Constant Contact, Squarespace, and Zoom is preferred.

Compensation

This is a full-time exempt position requiring 40 hours per week. The salary range is $55,000 - $65,000 annually, based on experience, plus a $2000 bonus after one year of successful employment. The organization does not provide health insurance; however, employees working 30 or more hours a week receive a prorated monthly stipend.


Work Schedule and Location

This position requires availability Monday through Friday from 9:00 AM to 5:00 PM, with a minimum of 2 to 3 days per week spent in-person at the MASS office, while the remaining days can be worked remotely. Flexibility in scheduling is necessary to accommodate attendance at annual events and partner activities.


Key Responsibilities:

Project Management

  • Coordinate and manage both new and existing contracts, generating summary reports in collaboration with team members.
  • Create and maintain project timelines to ensure compliance with contract and grant requirements.
  • Oversee daily project activities, including setting up tracking systems and organizing meetings and events.
  • Assist team leads in tracking work assignments using shared project management tools.
  • Prepare reports for management on project status and development initiatives, monitoring progress and implementing corrective actions as needed.
  • Support logistics and coordination for annual events and regional activities.

Communications

  • Manage email and communication efforts with part-time staff.
  • Assist in developing project plans for campaigns that align with organizational goals.
  • Facilitate internal communications regarding procedures and timelines.

Finance

  • Supervise payroll processing and expense management.
  • Generate invoices and manage billing contracts.
  • Prepare budgets and financial reports as required.

Human Resources

  • Oversee the onboarding process for new hires, including job postings and interview coordination.
  • Maintain employee records and respond to inquiries as necessary.

Additional Responsibilities

  • Maintain document control and database management.
  • Assist with other project and grant-related tasks as assigned.

Qualifications:

  • Bachelor's Degree.
  • Proficiency in Excel and Quickbooks or Quicken is strongly preferred.
  • 2-4 years of experience in project management or office administration.
  • Experience in coordinating multidisciplinary teams.
  • Experience supervising staff and managing multiple projects.
  • Familiarity with working alongside self-advocates and individuals with disabilities is a plus.
  • Strong organizational skills for both independent and collaborative work.
  • Ability to anticipate and resolve issues proactively.
  • Excellent interpersonal skills to guide solutions effectively.
  • Understanding of workflow processes and change management.
