Position Overview:

The Department Administrator plays a pivotal role in providing administrative oversight and support to the department. This individual acts as a strategic partner to the department chair, ensuring effective communication and management of all administrative operations.

Key Responsibilities:

  1. Point of Contact: Serve as the primary liaison for the department, addressing and resolving issues for students, faculty, and staff across multiple programs. Anticipate future departmental needs to maintain seamless operations.
  2. Budget Management: Oversee the department's financial resources, including budget development, forecasting, and monitoring expenditures. Ensure timely processing of invoices and accurate accounting of funds.
  3. Human Resources Coordination: Act as the HR liaison for departmental personnel, collaborating on policy development and addressing vendor agreements. Draft and implement departmental policies to enhance operational efficiency.
  4. Appointment Management: Oversee all faculty appointments and promotions, including recruitment processes and onboarding procedures for new personnel.
  5. Grant Administration: Manage pre-award grant submissions and collaborate with faculty on grant management, ensuring compliance with funding requirements.
  6. Event Planning: Organize departmental events and manage various special projects, contributing to a positive departmental culture.

Qualifications:

  1. Bachelor's degree or equivalent experience required.
  2. At least 3 years of relevant administrative experience.
  3. Proficient in Microsoft Office and web-based applications.
  4. Strong organizational and multitasking abilities.
  5. Ability to pass a comprehensive background check.

Preferred Qualifications:

  1. Master's degree is preferred.
  2. Experience in grant administration is advantageous.
  3. Prior supervisory experience is highly desirable.
