Position Overview:

The Hollister Group is seeking a motivated and meticulous Senior Administrative Assistant with over 4 years of experience in providing comprehensive support to senior management. This role is crucial for the effective operation of a significant department.

Key Responsibilities:

  • Assist senior management with intricate calendar coordination and weekly planning.
  • Oversee calendar management, arrange logistics for internal meetings, and help maintain office organization.
  • Participate in high-level meetings; document, draft, and circulate meeting minutes.
  • Support the planning and execution of events in partnership with the dedicated Events Coordinator.
  • Collaborate with travel agencies and vendors to confirm travel itineraries and logistics for both domestic and international trips.
  • Generate reports and reconcile travel-related expenses and receipts.
  • Ensure the smooth daily operations of the team.
  • Work closely with the finance department on budgeting, journal entries, and grant management.
  • Assist in budget preparation and fulfill regulatory and reporting responsibilities.
  • Provide coverage and support for other administrative personnel as needed.
  • Maintain databases and organize essential documents and files.

Qualifications:

  • At least 4 years of professional administrative experience.
  • Experience in the higher education sector is advantageous.
  • Familiarity with grant management is a plus.
  • Exceptional communication and interpersonal skills are essential.
  • Ability to manage multiple tasks and work independently.
  • Strong technical proficiency, particularly with PC systems, databases, and Microsoft Office applications (especially Word and Excel).
