Position Overview:

The Department Administrator plays a pivotal role in providing administrative oversight within the department. This individual acts as a key administrative support and strategic partner to the department's leadership, ensuring the seamless execution of various administrative tasks.

Key Responsibilities:

  1. Serve as the primary contact for departmental inquiries, addressing and resolving issues for students, faculty, and staff across multiple programs. Anticipate and plan for future departmental needs to maintain operational efficiency.
  2. Oversee the management of departmental budgets, including the development and monitoring of financial plans, ensuring all expenditures align with budgetary constraints.
  3. Act as the human resources liaison for departmental staff, collaborating on policy development and addressing personnel matters as needed.
  4. Manage all aspects of faculty appointments and promotions, ensuring compliance with institutional policies and overseeing the recruitment process.
  5. Facilitate visa processing for international personnel, ensuring all necessary documentation is prepared and submitted in a timely manner.
  6. Coordinate pre-award grant submissions and act as a liaison between faculty and the grants administration team, ensuring compliance with funding requirements.
  7. Collaborate with other departments to ensure adherence to organizational policies and regulations.
  8. Additional duties include managing calendars, organizing travel arrangements, planning departmental events, and overseeing special projects.
  9. Foster a culture of inclusivity and respect within the department.
  10. Perform other related duties as assigned.

Qualifications:

  1. Bachelor's degree or equivalent experience required.
  2. A minimum of three years of relevant experience in an administrative role.
  3. Proficiency in Microsoft Office and other web-based applications.
  4. Ability to fulfill the essential functions of the position with or without reasonable accommodation.
  5. Successful completion of a comprehensive background check is required.

Preferred Qualifications:

  1. Master's degree is preferred.
  2. Ability to manage diverse priorities and maintain composure in a dynamic environment.
  3. Exceptional organizational skills and the ability to multitask effectively.
  4. Strong attention to detail and excellent communication skills are essential.
  5. Prior supervisory experience is highly desirable.
