Administrative Coordinator

Position Overview:
The Department Administrator plays a pivotal role in providing administrative oversight and support within the department. This individual acts as a strategic partner to the Chair, ensuring that all administrative operations run smoothly and efficiently.
Key Responsibilities:
- Serve as the primary liaison for the department, addressing and resolving issues for students, faculty, and staff across multiple programs. Anticipate future departmental needs to facilitate seamless operations.
- Oversee the management of departmental budgets, including forecasting, reconciling, and monitoring expenditures. Ensure timely processing of invoices and proper allocation of resources.
- Act as the human resources contact for departmental personnel, collaborating on policy development and addressing vendor agreements.
- Manage appointment processes for various departmental roles, including promotions and searches, ensuring compliance with established procedures.
- Lead the preparation of materials required for visa processing and support grant submission efforts for principal investigators.
- Collaborate with other departments to uphold compliance with relevant laws and policies, while managing additional administrative tasks such as event planning and travel arrangements.
Qualifications:
- A Bachelor's degree or equivalent experience is required.
- At least 3 years of relevant administrative experience.
- Proficiency in Microsoft Office and web-based applications.
- Ability to perform essential job functions with or without reasonable accommodation.
- Successful completion of a comprehensive background check is necessary.
Preferred Qualifications:
- A Master's degree is preferred.
- Strong organizational skills and the ability to manage multiple priorities effectively.
- Exceptional attention to detail and communication skills are essential.
- Experience in grant administration is advantageous.
- Prior supervisory experience is highly desirable.
