Job Overview

The Financial Operations Coordinator is responsible for managing and maintaining accurate financial records related to accounts payable and receivable. This role plays a crucial part in ensuring timely and accurate financial transactions.

Key Responsibilities:Accounts Payable:
  • Review and verify invoices and payment requests.
  • Enter and code invoices into the accounting system.
  • Prepare and process electronic transfers and payments.
  • Reconcile accounts payable transactions and resolve any discrepancies.
  • Maintain vendor files and communicate with vendors regarding payment inquiries.
Accounts Receivable:
  • Generate and send out invoices to clients and customers.
  • Process incoming payments and apply them to the appropriate accounts.
  • Monitor accounts receivable aging reports and follow up on overdue payments.
  • Reconcile accounts receivable transactions and resolve discrepancies.
Invoicing:
  • Prepare and issue accurate invoices for goods or services rendered.
  • Ensure that all invoices are generated in accordance with contract terms or client agreements.
  • Track and manage invoice status, including sending reminders for overdue payments.
  • Coordinate with internal departments to resolve billing issues or discrepancies.
Financial Records:
  • Maintain accurate and organized financial records.
  • Assist in month-end and year-end closing processes by preparing necessary reports and reconciliations.
  • Support the finance team in audits by providing required documentation and information.
General Accounting Support:
  • Assist with other accounting tasks as needed, including data entry, filing, and maintaining financial databases.
  • Provide support to the finance team for special projects or tasks as assigned.

Qualifications:

  • Previous experience in accounts payable, accounts receivable, or a similar accounting role.
  • Familiarity with accounting software and Microsoft Office Suite, particularly Excel.

Skills:

  • Strong attention to detail and accuracy in financial record-keeping.
  • Excellent organizational and time management skills.
  • Ability to handle sensitive financial information with confidentiality.
  • Strong communication skills, both written and verbal.
  • Ability to work independently as well as part of a team.

Education:

  • High school diploma or equivalent required.
  • Associate's degree in accounting, finance, or a related field preferred.

Physical Requirements:

  • Ability to sit for extended periods while working on a computer.
  • Occasionally lift or move files and documents weighing up to 10 pounds.
