Position Overview


The Property Management Specialist plays a pivotal role in overseeing and managing the company's extensive portfolio, which encompasses over 35 locations nationwide.

Reporting directly to the Procurement Manager, this individual will contribute to the overarching real estate strategy while identifying opportunities to enhance operational efficiency and reduce costs.

This role requires collaboration with various essential departments within the organization (such as IT, Human Resources, and Legal/Compliance) to ensure that all requirements are adequately addressed.

Possesses limited access to Protected Health Information (PHI) and Personally Identifiable Information (PII) as per Job Description/Role.


Key Responsibilities


1. Lead the site selection process for new facilities, including lease negotiations and renewals; collaborate with property managers on office design and specifications.

2. Work closely with operational teams to assess property and location requirements, ensuring all factors are considered for compliance and security.

3. Provide ongoing support for location-specific needs and address issues that may arise, maintaining communication with landlords.

4. Gather data from headcount forecasts and business plans to inform projections for company space and facility needs.

5. Assist in the preparation of annual budgets, forecasts, accruals, CAM estimates, reconciliations, and monthly reporting.

6. Analyze real estate and facility expenditures, offering recommendations to achieve cost savings.

7. Cultivate and maintain strong relationships with building lease companies and landlords.

8. Keep accurate records and documentation for all active leases (facilities and equipment).

9. Perform additional duties as assigned.


Minimum Qualifications


- A minimum of 2 years of experience in facilities management.

- Strong knowledge of commercial real estate lease agreements.

- Highly organized with a keen attention to detail; possesses strong business acumen.

- Experience in project planning and coordination.

- Excellent decision-making and organizational skills, with the ability to optimize resources and manage multiple priorities.

- Willingness and ability to travel as required.

- Proficient in computer applications, including Microsoft Office tools.


Preferred Qualifications


- Bachelor's degree or equivalent experience.

- Experience in managing a property portfolio.


Working Conditions/Physical Effort


- Prolonged periods of sitting at a desk and working on a computer.

- Must be physically capable of crawling under desks and/or climbing ladders.

- Ability to lift at least 20 pounds.
