Job Overview

Position Summary: In the role of Senior Administrative Coordinator, you will deliver essential administrative assistance to TBN Executives, ensuring the efficient operation of various administrative functions. Your responsibilities will encompass managing routine administrative duties, invoicing processes, building oversight, and project coordination for on-site team events. As the key point of contact for guest interactions, your contributions to hospitality and meeting organization will significantly enhance team productivity.

Key Responsibilities:

  • Facility Oversight: Collaborate with the operations team to coordinate with maintenance personnel, cleaning services, and day porters to guarantee exceptional experiences throughout the facility. Prepare internal communications for staff as necessary.
  • Guest Services & Reception: Foster a welcoming atmosphere for visitors, meeting participants, and team members as the primary representative of the executive team. Organize catering, room setups, and professional hospitality services as required.
  • Meeting Organization & Assistance: Support the planning and preparation of executive and board meetings, ensuring that all necessary materials and resources are ready for leadership. Arrange catering and hospitality services as needed.
  • Administrative Support: Provide comprehensive administrative assistance, including managing overnight shipments, coordinating mail, ordering office supplies, and handling other office-related tasks. Step in for mail and shipment distribution as required.
  • Vendor Relations: Act as a liaison with contracted cleaning services, food vendors, safety trainers, and maintenance personnel. Ensure that interactions with staff are professional and that invoices are processed accurately.
  • Event Coordination: Lead and manage a volunteer committee for organizing staff events and holiday celebrations.

Qualifications:

  • Proficient in office software and tools (Microsoft Office Suite, scheduling applications, etc.).
  • Strong professional communication skills, with an emphasis on confidentiality and interpersonal relations, as you will engage with various executive leadership members and external contacts.
  • Exceptional organizational skills and a proactive approach to problem-solving are essential to anticipate challenges, meet deadlines, and support team success.
  • Meticulous attention to detail and accuracy in managing financial documentation and expense reports.

Reports directly to TBN's Chief Financial Officer.
