General Position Summary: The Administrative Assistant plays a crucial role in delivering clerical and organizational support to the Pastor and church personnel. The ideal candidate will demonstrate a commitment to community service, possess a friendly demeanor, and exhibit high energy. Strong organizational and interpersonal skills are essential, along with proficiency in customer service, multitasking, and a vibrant faith life. Familiarity with Microsoft Office Suite, including Word, Excel, and PowerPoint, is required. Responsibilities include managing the church calendar, ordering supplies, and facilitating communication with parish groups, volunteers, and vendors, as well as coordinating church events.
Key Responsibilities:
- Assist the Pastor with various administrative duties, such as preparing correspondence, scheduling appointments, and maintaining records.
- Support the planning and execution of liturgical services and other church-related events.
- Serve as the primary contact for inquiries regarding parish business and administrative issues, providing appropriate referrals as necessary.
- Work collaboratively with the Pastor and other parish staff members.
- Engage in parish administration processes, including needs assessment, planning, decision-making, and financial management.
- Address escalated concerns from parishioners professionally and courteously, coordinating with other ministries as needed.
- Maintain the master calendar for parish activities and events.
- Prepare various documents using Microsoft Word and manage incoming communications.
- Ensure timely responses to all communications to address parishioner and peer concerns effectively.
- Undertake additional tasks as assigned by the Pastor.
Decision-Making Responsibilities:
- Expected to take initiative and make informed decisions aligned with the parish's mission and vision.

Working Conditions:
- Ability to sit for extended periods while performing computer tasks.
- Frequent communication via phone and email.
- Standard office environment with regular business hours; flexibility for evening and weekend work may be required.
Required Skills and Qualifications:
- Active membership in a Catholic parish community.
- Bilingual proficiency in English and Spanish.
- Proven experience in administrative roles, preferably within a church setting.
- Willingness to work flexible hours as needed.
- Strong organizational skills and the ability to manage multiple priorities.
- Excellent communication skills, both written and verbal, in English and Spanish.
- Ability to maintain confidentiality and demonstrate attention to detail.
- Proficient in Microsoft Office applications.
Preferred Skills and Qualifications:
- Experience in a Catholic Church or organization.
- Familiarity with social media and website management.
- Knowledge of graphic design software.
- Conflict resolution skills.
