Strong organizational skills, adaptability, and a passion for tackling the challenges of supporting the executive team are essential, as this role is situated within a small office setting where teamwork is vital.

Key Responsibilities:

  • Performing office duties such as organizing files, generating reports and presentations, preparing for meetings, and managing supply orders.
  • Providing real-time scheduling assistance by coordinating appointments and avoiding conflicts.
  • Arranging travel logistics, including booking flights, vehicles, and accommodations, as well as making dining reservations.
  • Screening incoming calls and directing them to the appropriate personnel.
  • Utilizing technology to produce reports, document meeting minutes, create presentations, and conduct research.
  • Acting as a representative for the executive team by communicating on their behalf, following up on delegated tasks, and discerning when to escalate issues.
  • Organizing, storing, and retrieving project documentation and other materials.
  • Drafting letters and routine correspondence using Microsoft Office applications.
  • Providing administrative assistance for the office and maintaining both electronic and physical filing systems.
  • Carrying out additional related tasks as required.

Qualifications:

Associate's Degree in a relevant field.

Previous experience in an administrative role.

Proficient computer skills and expertise in Microsoft Office Suite.

Strong attention to detail.

A commitment to being proactive and fostering a positive experience for colleagues.

Job Type: Full-time
