Position Overview

QinetiQ US is seeking a highly skilled Executive Assistant to provide comprehensive support to senior Department of Defense (DoD) leadership within the Office of the Secretary of Defense at the Deputy Assistant Secretary of Defense (DASD) level. The selected candidate will directly assist high-ranking Federal Government Senior Executives and engage with DoD Flag/General Officers and their support teams. This role requires exercising independent judgment and discretion, including the authority to manage the principal's schedule based on established guidelines and protocols.

Key Responsibilities

  • Develop and enhance multiple standard operating procedures, processes, and templates based on expertise and independent evaluations, which are critical to daily operations and strategic engagement plans.
  • Act as the primary liaison with senior DoD leadership to interpret proposed policies and operational practices, providing expert recommendations to the DASD(P) and other senior officials.
  • Create and manage tools such as Excel spreadsheets and databases to compile, track, summarize, and report on various documents and projects.
  • Ensure adherence to established guidelines and provide timely feedback and status updates as needed.
  • Initiate and manage special projects as required.
  • Collaborate with military assistants, Chiefs of Staff, and other personnel to guide daily operations and contribute to strategic planning.
  • Facilitate communication with the Secretary of Defense, OSD Protocol, and other agencies to ensure effective business operations.
  • Maintain compliance with deadlines and ensure timely execution of tasks.
  • Serve as a subject matter expert in Joint Travel Regulations (JTR) and coordinate travel arrangements for DASD(P) activities.
  • Manage complex calendars and schedules, resolving conflicts and orchestrating necessary changes.
  • Plan and confirm logistical support for meetings, including transportation and security arrangements.
  • Prepare daily briefings with pertinent information for upcoming activities and maintain organized documentation.
  • Oversee office administrative functions, including security administration and scheduling office events.

Required Qualifications

  • A minimum of three (3) years of relevant experience.
  • Extensive experience with the Defense Travel System (DTS) for both CONUS and OCONUS travel.
  • Proven experience in a DoD correspondence environment.
  • Familiarity with task or correspondence management systems.
  • Active TS/SCI clearance is required.

Preferred Qualifications

  • A Bachelor's degree from an accredited institution is preferred; however, specialized experience may substitute for educational requirements.
  • Experience providing executive-level administrative support to high-ranking Federal Government officials is highly desirable.
