Compensation Range

$76,080 - $94,440 Annually

Please be aware that this salary range serves as a general guideline. Various factors, including education, experience, the external labor market, and internal equity, are considered when determining starting salaries.

Position Overview

We are seeking an Events Office Administrator to support the Events Office team in developing agendas and managing logistics for high-profile visits, briefings, and special events involving dignitaries of both national and international significance. This role requires the ability to independently prioritize and manage a varied administrative workload in a dynamic environment.

In this position, you will frequently engage with senior Laboratory management, the LLNS Board of Governors, the LLNL Protocol Office, and VIP visitors, including officials and representatives from various sectors such as government, academia, and industry. Depending on your responsibilities, a hybrid work schedule may be available, allowing for a combination of in-person and remote work.

Key Responsibilities

  • Coordinate and oversee internal and external visits, ensuring security clearances, agenda preparation, badging, and tours are handled effectively.
  • Assist in the coordination of on-site and virtual meetings, conferences, and events.
  • Monitor daily administrative operations and serve as a point of contact for administrative inquiries and action items.
  • Develop and maintain databases, spreadsheets, and tracking systems.
  • Provide support in resolving unexpected complications, deviations, or delays, adapting plans as necessary in high-visibility settings.
  • Act as a resource for interpreting and applying business policies and procedures, ensuring documentation adheres to established guidelines.
  • Facilitate communication and dissemination of information on behalf of the SD Events Office.
  • Assess inquiries, prioritize actions, and ensure timely resolution of event-related questions.
  • Support initiatives that promote a culture of inclusion, diversity, equity, and accountability within the workplace.
  • Perform additional duties as assigned.

Required Qualifications

  • Active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance from another U.S. government agency at the time of hire.
  • Experience in coordinating large-scale internal and external events, including conferences and off-site meetings.
  • Strong grammar, proofreading, editing, and organizational skills, with a keen attention to detail and the ability to prioritize multiple complex tasks in a fast-paced environment.
  • Self-motivated and adaptable, exercising discretion and sound judgment in handling sensitive information and personnel interactions.
  • Experience supporting VIP visitors from government, academia, or the private sector.
  • Proficient in computer applications, particularly MS Office, with advanced skills in creating and managing spreadsheets and tracking data.
  • Excellent communication and interpersonal skills to engage with a diverse workforce and represent the organization effectively.
  • Strong analytical and problem-solving abilities to identify and implement solutions to administrative challenges.
  • Operational knowledge of working within a weapons program is preferred.

Preferred Qualifications

  • Familiarity with LLNL standard software packages (Catering, LEAP, FTS, VTC, VTS, etc.).
  • Experience with the CVENT online registration tool.
  • Ability to interact with personnel at all levels, exercising discretion and effective communication skills.
  • Broad knowledge of LLNL's institutional structure and its key stakeholders.

Security Clearance Requirement

This position necessitates an active Department of Energy (DOE) Q-level clearance or an active Top Secret clearance from another U.S. government agency at the time of hire.
