Compensation Range

The annual salary for this position ranges from $76,080 to $94,440. This range serves as a general guideline and may vary based on factors such as education, experience, and market conditions.

Position Overview

We are seeking an Events Office Administrator to collaborate with the Events Office team in organizing high-profile visits, briefings, and special events for distinguished guests. This role requires adept management of a diverse array of administrative tasks in a dynamic environment, often involving direct interaction with senior management and VIP visitors from various sectors.

Key Responsibilities

  • Coordinate and oversee internal and external visits, ensuring all security clearances and logistical arrangements are in place.
  • Facilitate the smooth execution of meetings, conferences, and events, both in-person and virtually.
  • Manage daily administrative operations and serve as a primary contact for event-related inquiries.
  • Develop and maintain organizational tools such as databases and tracking systems.
  • Address unexpected challenges and make real-time adjustments to plans as necessary.
  • Provide guidance on business policies and ensure compliance with established procedures.
  • Communicate effectively on behalf of the Events Office, ensuring clarity and consistency in information dissemination.
  • Promote a culture of inclusion and equity within the workplace.
  • Perform additional duties as required.

Qualifications

  • Active Department of Energy (DOE) Q-level clearance or equivalent Top-Secret clearance is required at the time of hire.
  • Experience in coordinating large-scale events and managing high-profile visitors.
  • Strong organizational skills with a keen attention to detail and the ability to manage multiple priorities.
  • Self-motivated with the ability to exercise discretion in handling sensitive information.
  • Proficient in MS Office and experienced in data management and reporting.
  • Excellent communication skills, capable of interacting with a diverse range of stakeholders.
  • Analytical skills to identify issues and propose effective solutions.
  • Familiarity with operations in a weapons program is advantageous.

Preferred Qualifications

  • Experience with LLNL software tools and event management platforms.
  • Knowledge of the Laboratory's organizational structure and key stakeholders.
  • Commitment to fostering an inclusive and equitable workplace.
