Position Overview

Role Summary

The Senior Administrative Coordinator plays a pivotal role in providing comprehensive support to high-ranking executives within the organization. This position requires exceptional communication skills, a commitment to confidentiality, and the ability to manage multiple priorities effectively.


Key Responsibilities include, but are not limited to:

  • Serve as a primary point of contact between executives and various departments, as well as external partners, including senior leadership and board members. Manage sensitive information with discretion and clarity.
  • Coordinate and arrange complex schedules, including meetings, travel itineraries, and departmental events, ensuring all logistics are meticulously planned.
  • Prepare and distribute meeting agendas, supporting documents, and minutes for board and committee meetings, ensuring all materials are handled with the utmost confidentiality and punctuality.
  • Assist executives with daily operational tasks, including managing expense reports and reconciling credit card statements.
  • Develop and maintain various reports, documents, and organizational charts, as well as create impactful visual presentations for executive review.
  • Oversee the management of conference room schedules and prepare for meetings, including catering and necessary amenities.
  • Organize and prioritize a high volume of information and requests, generating reports as needed.
  • Handle incoming correspondence for executives, drafting responses and managing routine inquiries efficiently.
  • Answer phone calls for designated executives, taking messages and addressing both routine and complex questions.
  • Collaborate independently and as part of a team on special projects and ongoing initiatives as required.
  • Exhibit outstanding communication and interpersonal skills in all interactions.
  • Perform additional tasks as assigned.

Supervisory Role

This position does not include supervisory responsibilities.


Qualifications and Experience

  • Associate's Degree is required; Bachelor's Degree is preferred.
  • A minimum of 5 years of experience in an executive administrative role or a comparable combination of education and experience.
  • Proven ability to handle confidential information related to personnel and organizational matters.
  • Strong capability to work collaboratively within a team environment.
  • Exceptional writing and presentation skills, with a focus on clarity and persuasion.
  • Demonstrated critical thinking and analytical abilities.
  • Ability to make sound decisions and exercise good judgment in high-pressure situations.
  • Flexibility to manage a diverse workload with minimal supervision.
  • Advanced proficiency in Microsoft Office Suite, including Excel, PowerPoint, Word, Outlook, and Visio; experience with Access is a plus.
  • Outstanding organizational skills with a strong emphasis on planning and coordination.
  • Proven problem-solving skills and adaptability to changing circumstances.
  • Excellent multitasking capabilities.
  • Strong attention to detail and commitment to quality.
  • Experience in delivering exceptional customer service and fostering positive working relationships.
