We are seeking a highly organized and detail-oriented Administrative Assistant to support the Contract Administration/Risk Management Department. The successful candidate will be responsible for performing diversified duties, including record updating, document uploading, purchase orders, and providing administrative support to the Contract Administration Coordinators.
Key Responsibilities- Adhere to and promote all Company Safety Policies and the Company Code of Conduct.
- Manage the subcontractor prequalification process.
- Correspond with project team members for signature and execution of purchase orders, subcontracts, and change orders.
- Update vendor compliance to avoid payment procedure interruption.
- Support Contract Administration Coordinator II with Certificates of Insurance.
- Respond to inquiries and assist in the resolution of operational issues relating to compliance, prequalification, and AP.
- Create overhead purchase orders.
- Perform general administrative duties, including preparing documents, maintaining spreadsheets, and scanning.
- Schedule and coordinate meetings and other events for the division.
- Compose reports, letters, and memos for supervisor's review and signature.
- High School diploma or equivalent, including courses in business administration.
- 2 years of experience in administration, desirable. Education may be substituted for experience.
- Demonstrated construction experience or understanding is a plus.
- Knowledge of Standard Operating Procedures (SOPs).
- Ability to multi-task and handle changing priorities in a fast-paced work environment.
- Excellent communication skills required; excellent interpersonal and organization skills mandatory.
- Possess a disciplined attitude regarding processes and procedures.
- Demonstrated competency with all components of Microsoft Office software applications and proficiency with other ERP, Cloud-based software systems.
- Professional, able to maintain confidentiality of sensitive information.
- Ability to pass a pre-employment drug screen.
