Administrative Assistant
A growing construction organization has a newly created Administrative Assistant role to support the contracts group. The position will sit onsite 5 days a week but allows 24 days of your choice to work remotely. You will collaborate with Estimators, Project Managers, and Accounting to manage and monitor all aspects of subcontracts, blanket purchase orders, change orders, and material purchase orders on multiple contract projects, including prequalification, completion and tracking of subcontract documents, and other requirements.
Responsibilities:
- Manages the subcontractor prequalification process.
- Corresponds with project team members for signature and execution of purchase orders, subcontracts and change orders.
- Updates vendor compliance to avoid payment procedure interruption.
- Supports Contract Administration Coordinator II with Certificates of Insurance.
- Responds to inquiries and assists in the resolution of operational issues relating to compliance, prequalification, and AP.
- Creates overhead purchase orders.
- Performs general administrative duties in support of division objectives.
- Schedules and coordinates meetings and other events for the division.
- Composes reports, letters and memos for supervisor’s review and signature.
- Performs other miscellaneous duties and responsibilities as required.
Qualifications:
- 3+ years of administrative experience including exposure to contracts and POs
- Construction industry experience preferred
