Administrative Officer

The Administrative Officer serves as the primary point of contact for incoming calls and emails to the Business Development division, managing schedules for economic development representatives, including those in field offices.
Key responsibilities include maintaining office files, reviewing and preparing marketing payment vouchers, and processing orders for business cards, nameplates, and name badges, ensuring all fiscal paperwork is completed accurately and on time.
The officer prioritizes requests for presentations and public appearances, collaborating with the Administrative & Logistics Coordinator to schedule appointments and handle customer service responses related to the agency's website.
Responsibilities- Serves as the main point of contact for incoming calls and emails to the Business Development division.
- Maintaining various Business Development division office files; reviewing and preparing marketing payment vouchers; processing orders for business cards, name plates and name badges; and ensuring all fiscal paperwork is completed in an accurate and timely manner.
- Serves on the front desk coverage schedule as needed. Serves as the main administrative support to both the Business Development Division and the Division of Marketing & Communications.
- Arranges travel for staff, including all travel arrangements, completion of out-of-state travel requests, and travel and payment vouchers.
- Provides advanced and specialized professional support and coordination to the staff of the Business Development division as needed.
- Prioritizes requests for presentations, meeting attendance and public appearances as needed.
- Initiates and completes paperwork for purchases for the Division of Marketing and Communications and the Business Development divisions to include.
- Manages and coordinates all printing and duplication projects and serves as primary agency contact for the state printer as well as private sector printers.
- Serves as primary contact for the agency website customer service responses.
- Two to five years of experience in office support/clerical work required.
- Three years' experience preferred providing administrative support to a senior executive.
