Position Overview

We are in search of a meticulous and highly organized Office Administrator to support our HVAC service division. This position will play a crucial role in providing essential assistance to the department and may encompass some duties of a Service Coordinator. The ideal candidate will be proactive, possess excellent communication abilities, and efficiently manage multiple responsibilities.

Key Responsibilities:

Administrative Duties:

  • Handle and direct incoming calls, take messages, and respond to inquiries promptly and professionally.
  • Oversee office correspondence, including emails, memos, and reports.
  • Organize and maintain departmental files, records, and documentation.
  • Assist in scheduling and coordinating meetings, appointments, and departmental activities.
  • Prepare and process invoices, purchase orders, and other financial documents.

Service Coordination:

  • Support the scheduling and dispatching of HVAC technicians for service calls and maintenance tasks.
  • Track and update service tickets, ensuring timely completion and customer satisfaction.
  • Communicate with clients regarding service appointments, follow-ups, and general inquiries.
  • Coordinate parts and equipment orders with suppliers, ensuring timely delivery for service jobs.
  • Maintain an accurate database of customer information and service history.

Qualifications:

  • Demonstrated experience in an administrative capacity, preferably within the HVAC or construction sector.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Exceptional communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using scheduling and database software.
  • Able to work independently and collaboratively in a fast-paced environment.
  • Customer service-oriented with a focus on achieving high levels of client satisfaction.
