Job Overview

Position Summary:

The Front Desk Associate serves as the primary point of contact for patients entering the medical facility. This role involves welcoming patients, managing appointment schedules, processing co-payments, entering data into the system, and ensuring the front desk operates smoothly and efficiently. Strong customer service skills, a background in medical assistance, and the ability to multitask and stay organized are essential for success in this position. Note that travel to additional locations may be necessary, with mileage reimbursement provided.

Key Responsibilities:

  1. Welcome and direct patients and visitors to appropriate areas within the facility.
  2. Ensure a smooth patient flow and maintain an organized workspace.
  3. Answer phone calls professionally, adhering to proper etiquette.
  4. Collect and verify patient demographic and insurance details.
  5. Facilitate patient movement and inform clinical staff of patient arrivals.
  6. Respond to inquiries from patients, visitors, and staff in a courteous manner.
  7. Safeguard patient confidentiality by adhering to HIPAA regulations.
  8. Schedule appointments and communicate costs of services to patients.
  9. Collect and record fees according to established protocols, preparing daily financial reports for the billing department.
  10. Maintain necessary forms and supplies for front desk operations.
  11. Prepare the front desk area for daily operations.
  12. Utilize computer systems to accurately input patient information.
  13. Exhibit a responsible attitude and foster cooperative relationships with colleagues.
  14. Maintain regular attendance and adhere to company policies.
  15. Perform additional duties as assigned.

Qualifications:

Education: High school diploma or GED required.

Experience: Prior experience in office administration is necessary, with medical assistant experience preferred. Familiarity with medical terminology and basic computer skills is advantageous.

Skills and Abilities:

  • Excellent verbal and written communication skills.
  • Ability to interact compassionately with individuals facing health challenges.
  • Proficient in managing incoming calls and operating office equipment.
  • Capable of handling paperwork efficiently.
  • Understanding of medical terminology and insurance processes.
  • Basic arithmetic skills for calculations and reconciliations.
  • Strong organizational and prioritization skills.
  • Ability to adapt to changing demands while maintaining professionalism.

Work Environment:

Conditions: Medical office setting.

Physical Requirements:

  • Availability to work scheduled hours, typically Monday through Friday.
  • Ability to sit or stand for extended periods.
  • Capability to bend, stoop, and stretch as needed.
  • Ability to lift and move items weighing up to 30 pounds.
  • Requires coordination and dexterity to operate office equipment.
