Position Summary

The Patient Services Coordinator serves as the first point of contact for individuals entering the healthcare facility. Please be aware that travel to various locations may be necessary, with mileage reimbursement provided.

Key Responsibilities

  1. Welcomes and directs patients and visitors to appropriate areas within the facility.
  2. Ensures a smooth patient flow and maintains an organized workspace.
  3. Handles incoming calls with professionalism and courtesy, adhering to proper phone etiquette.
  4. Collects and verifies patient demographic and insurance details.
  5. Facilitates patient flow and informs clinical staff of patient arrivals.
  6. Engages with current and prospective patients, addressing inquiries in a respectful manner.
  7. Safeguards patient confidentiality by securing protected health information and adhering to HIPAA regulations.
  8. Schedules appointments and communicates costs of services to patients.
  9. Collects and processes fees according to established protocols, preparing and balancing daily financial batches for the billing department.
  10. Maintains necessary forms and office supplies for front desk operations.
  11. Prepares the front desk area for daily operations.
  12. Utilizes computer systems to accurately input patient information.
  13. Exhibits a responsible attitude and fosters cooperative relationships with colleagues.
  14. Maintains regular and predictable attendance.
  15. Complies with company policies and procedures.
  16. Performs additional duties as assigned.

Qualifications

Education: High school diploma or GED is required.

Experience: Prior experience in office administration is necessary. Medical Assistant experience is required, along with familiarity with medical terminology and basic computer skills.

Skills and Abilities:

  • Strong verbal and written communication capabilities.
  • Ability to interact effectively with individuals, including those experiencing health challenges.
  • Proficient in managing incoming calls and operating office equipment.
  • Capable of handling paperwork efficiently.
  • Knowledgeable in medical terminology and insurance processes.
  • Basic arithmetic skills for calculations, balancing, and reconciling figures.
  • Effective organizational and task prioritization skills.
  • Ability to adapt to changing demands while maintaining professionalism.

Working Environment

Conditions: Medical office setting.

Physical Requirements:

  • Availability to work as scheduled, typically from 8:00 AM to 5:00 PM, Monday through Friday.
  • Ability to sit and/or stand for extended periods.
  • Capability to bend, stoop, and stretch as needed.
  • Ability to lift and move items weighing up to 30 pounds.
  • Requires hand-eye coordination and manual dexterity for operating office equipment.
