Position Summary

The Field Experience Coordinator plays a pivotal role within the Admissions department, executing the marketing, recruitment, and sales initiatives of Ecology Project International. This position involves collaborating with program offices to facilitate student courses at various field locations, both domestically and internationally. The coordinator is tasked with establishing and nurturing partnerships with educators and institutions, enhancing student recruitment and enrollment efforts, and serving as a crucial link between EPI's program offices and confirmed school groups.

Key Responsibilities

  • Develop and sustain relationships with educational institutions, teachers, organizations, and students.
  • Organize, promote, and conduct informational sessions for students, parents, and educators, utilizing both in-person and virtual formats.
  • Respond to inquiries regarding EPI's methodologies, enrollment procedures, academic offerings, and logistical details.
  • Coordinate travel arrangements, plan logistics, and prepare materials for conferences and recruitment events.
  • Oversee the application, selection, and enrollment processes for teacher fellowships.
  • Assist in the preparation, execution, and follow-up required for acquiring new leads.
  • Address questions and concerns from teachers, students, families, and other potential participants.
  • Collaborate with the Enrollment team on documentation and payment collection.
  • Maintain an up-to-date participant database, tracking communication and new information.
  • Lead the bi-annual updates of essential external marketing materials and ensure accurate revisions to Professional Development resources based on stakeholder feedback.
  • Support the Marketing & Communications team through integrated marketing and recruitment campaigns.
  • Manage seasonal calendars and schedule groups for field courses lasting from 3 to 15 days at all EPI program sites.
  • Maintain consistent communication with program offices regarding itineraries, scheduling, course activities, research initiatives, accommodations, and curriculum.
  • Facilitate the scheduling and purchase of air travel for over 200 participants, adhering to site-specific guidelines.
  • Occasionally serve as Duty Officer on the 24-hour emergency response cell phone, providing support as needed.
  • Perform additional tasks as assigned by the supervisor.

Qualifications

Required:

  • Bachelor's degree or two years of experience in customer service or sales.
  • A strong enthusiasm for teamwork and a results-driven mindset.
  • Exceptional organizational skills, persistence, and attention to detail.
  • Ability to foster strong and enduring relationships.
  • Excellent verbal and written communication skills.
  • Capability to work independently.
  • Outstanding time management skills, with the ability to manage multiple projects while ensuring prompt responses to existing accounts.

Preferred:

  • Degree in sales, marketing, communication, or science education.
  • Experience in direct sales.
  • Familiarity with experiential education and inquiry-based learning.
  • Experience in classroom teaching.
  • Background in living and working in Latin America, particularly in Mexico, Belize, Costa Rica, or Ecuador.
  • Fluency in Spanish.
  • Experience with customer relationship management (CRM) systems.
  • Proficiency in graphic design software such as Adobe Creative Cloud or Canva.
  • Experience with collaborative project management tools like Asana or Trello.

Work Schedule & Location

This position is full-time, typically requiring 40 hours per week, with standard office hours from 9 AM to 5 PM. The role is based in EPI's office, with occasional travel for conferences, teacher fellowships, and school visits.

Compensation: $41,344-42,814/year, commensurate with experience, in accordance with EPI's compensation philosophy.
