Role Summary
We are seeking a dedicated and skilled Bilingual Office Coordinator to join our dynamic team. This role is essential in providing comprehensive administrative support to our management team, ensuring smooth operations and effective communication.
Key Responsibilities:
- Respond promptly to inquiries from residents and homeowners through various communication channels.
- Collaborate with vendors to address urgent requests as needed.
- Assist in the preparation of meeting agendas, management reports, and documentation for board meetings.
- Develop newsletters, flyers, and other materials to keep residents informed about services and community events.
- Support the preparation and distribution of annual disclosure packages and financial statements to residents.
- Monitor and assist in the management of account portfolios, including delinquency rates and collections.
- Maintain organized property and unit files.
- Facilitate the onboarding process for new residents, including welcome packets.
- Manage the issuance of access keys and community passes.
- Conduct community inspections and assist with application processing as required.
- Support the management team with proposal requests and insurance notifications.
- Prepare violation letters and communicate outcomes of hearings to residents in a timely manner.
- Assist residents with corporate programs and online portals as directed.
- Participate in training sessions to enhance skills and knowledge.
- Perform additional tasks as assigned to support the team and organization.
Qualifications:
- Bilingual in Spanish is required.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with community management and homeowners associations.
- Understanding of the roles of association boards and community managers.
- Strong command of business writing and correspondence.
- Effective conflict resolution skills.
- Excellent communication and customer service abilities.
- Self-motivated, detail-oriented, and a collaborative team player.
Work Environment:
This position requires on-site presence within the community for a significant portion of the time. Candidates should be prepared for physical demands, including standing, walking, and lifting up to 30 lbs. Flexibility to work occasional evenings or weekends may be necessary for community-related functions.
