Key Responsibilities:

The role of the Residential Services Coordinator involves delivering exceptional front office service while supporting the Residential Tower Manager. This position serves as a primary contact for customer service, addressing the needs of owners, residents, and their guests within the residential tower, particularly in elevated situations. The Coordinator will provide valuable insights and feedback to the Tower Manager, ensuring that standards and procedures are effectively implemented and followed.

Core Duties:

  • Collaborate closely with the Tower Manager and the Residential Team to maintain high service standards.
  • Deliver outstanding phone customer service for the residential tower.
  • Engage with owners, residents, and visitors, addressing inquiries and concerns with professionalism.
  • Communicate residential tower rules, policies, and procedures clearly to all stakeholders.
  • Provide administrative assistance to the Tower Manager as needed.
  • Guide owners, residents, and visitors throughout the hotel or tower.
  • Oversee front office operations, ensuring adherence to standard operating procedures.
  • Manage the flow of traffic in the residential lobby effectively.
  • Ensure timely and accurate follow-up on all owner and resident requests.
  • Maintain records of Permission to Enter requests, verifying legitimacy and managing key distribution.
  • Report incidents or concerns to the Tower Manager promptly.
  • Assist residents and guests with their needs, including offering escorts when necessary.
  • Greet all individuals with warmth and professionalism, proactively offering assistance.
  • Direct requests to the appropriate parties efficiently.
  • Support residents with disabilities as required, maintaining an accessible list for emergencies.
  • Stay informed about events and activities within the tower and hotel.
  • Ensure compliance with company policies and brand standards.
  • Work in tandem with the Tower Manager to resolve issues and inquiries from residents and guests.

Administrative Responsibilities:

  • Supervise and maintain the front desk's appearance and operational efficiency.
  • Assist in processing service requests from owners and residents.
  • Keep accurate records and logs related to residential tower operations.
  • Prepare necessary correspondence for the residential community for the Tower Manager's review.
  • Support the Tower Manager with mass communications to unit owners.
  • Familiarize oneself with all residential team duties and restrictions.
  • Manage the distribution of resident and Board of Directors mail.
  • Assist in maintaining the condominium association's calendar of events.
  • Report on the status of ongoing projects and key issues to the Tower Manager.

Physical Requirements:

The position requires frequent walking and occasional lifting of up to 20 lbs. The individual must be able to communicate effectively and maintain a professional demeanor at all times.

Qualifications:

Successful candidates will have experience in a customer service environment, preferably in a supervisory role within the hotel or residential industry. Strong communication skills, both written and verbal, are essential, along with the ability to work collaboratively with a diverse team.
