We are seeking a highly motivated and detail-oriented Executive Business Administrator to join our team at Aquent Talent. This role is responsible for managing senior managers' calendars, providing administrative support, and coordinating domestic and international travel itineraries as needed.

The ideal candidate will have a minimum of 3 years of experience supporting a high-level manager at Microsoft within the last 24 consecutive months. They will also have demonstrated proficiency in Outlook, Word, Excel, Visio, and PowerPoint, as well as excellent written and verbal communication skills.

The Executive Business Administrator will be responsible for:

  • Proactively managing senior managers' complex calendars with utmost attention to accuracy and timelines.
  • Arranging domestic and international travel.
  • Reconciling and processing expense reports for managers.
  • Partnering closely with the studio head on activities in support of business strategy, planning, and financials.
  • Coordinating and scheduling internal/external meetings.
  • Partnering with the chief of staff and admin team to manage headcount for the team.

The Executive Business Administrator will also have the opportunity to:

  • Identify, recommend, and implement solutions to departmental operations and process issues.
  • Manage team aliases ensuring all aliases for the organization are up-to-date and hierarchy is aligned.
  • Coordinate department facility operations, including facilities requests.
  • Plan and execute team morale events and all hands in partnership with the admin team.

The ideal candidate will have a strong working knowledge of MSFT internal tools such as Employee Central, iCIMS, MS Expense 2, My Order, and SharePoint. They will also have experience serving as a mentor and/or leader of others in the business support community, as well as experience working in a game studio or other creative organization.
