Job Overview

Plymouth Housing Group seeks an experienced Administrative Services Manager to oversee the day-to-day operations of our administrative offices. This role will be responsible for coordinating and performing a diverse set of administrative tasks, managing staff and office operations, and ensuring efficiency.

The successful candidate will establish, evaluate, and update department processes and systems, review reports and interpret data, own administrative project/initiative delivery, and assist with office tasks. They will also supervise all administrative staff and collaborate with other departments to facilitate consistent and efficient delivery of administrative services.

This is a regular, benefited, full-time position that requires a minimum of five years of administrative or office management experience, including supervisory responsibility. The ideal candidate will have a strong customer service orientation, relationship building, critical thinking, creative problem-solving, and collaboration skills.

Key Responsibilities:

  • Provide office management and administrative support to facilitate day-to-day operations.
  • Manage all aspects of the administration office, including planning, resources, and solutions.
  • Own and execute the entire process for choosing furniture, elements, colors, etc. in common areas, and purchase selected furniture.
  • Design, implement, and improve office and administrative procedures, including standards, service level agreements, and operational items.
  • Coordinate and manage the purchase or leasing of organization-wide general office equipment, furniture, parking agreements, and emergency preparedness and first aid supplies.
  • Own all aspects of contracted administrative services, including water delivery, coffee service, and shredding.
  • Oversee retention and storage of administrative records, creating and executing a policy and process for proper records management.
  • Lead the process for policy and procedure development, approval, tracking, version control, and storage for all departments.
  • Assist in coordinating meetings and other organization events.
  • Attend meetings and trainings, as required.
  • Provide services of a Notary Public, as needed.

Requirements:

  • Bachelor's degree in business administration or a related field, and/or relevant work experience.
  • Minimum of five years of administrative or office management experience, including supervisory responsibility.
  • Strong customer service orientation, relationship building, critical thinking, creative problem-solving, and collaboration skills.
  • Exceptional organizational and project management skills, ability to prioritize, and strong attention to detail.
  • Strong written and interpersonal skills, with the ability to adapt and interact effectively at all levels of the organization.
  • Proven track record of effective time management, taking initiative, working independently, and delivering results.
  • Ability to manage multiple competing priorities and demonstrate flexibility and responsiveness in a fast-paced, changing environment.
  • High integrity and sound judgment in decision-making, upholding discretion with confidential matters and sensitive information.
  • Ability to learn quickly and work with minimal supervision.
  • Advanced level of proficiency with full MS Office suite and web conferencing, including MS Teams and Zoom.
