Position Overview

The University of California is seeking a highly skilled Executive Assistant to provide comprehensive administrative and project management support to senior executives within the organization.

Key Responsibilities:
1. Facilitate effective communication and manage essential data flow.
2. Oversee and execute special projects or assignments that require a high degree of sensitivity and complexity, demonstrating independence and initiative.
3. Manage confidential and critical tasks to assist executives with significant matters.
4. Lead planning and execution of high-level projects and initiatives across the organization.
5. Address complex and sensitive issues while adapting to the dynamic priorities of a high-profile environment.
6. Provide assistance with minimal supervision, ensuring all requests and inquiries are handled promptly.
7. Act as a resource for addressing concerns and questions in the absence of executives, utilizing research and independent judgment.

Qualifications:
- High School Diploma or GED required.
- A minimum of seven years of progressively responsible experience in an executive-level assistant role.
- Exceptional organizational and leadership abilities to navigate complex challenges.
- Strong communication skills to foster trust and professional relationships.
- Proven ability to interact and negotiate with influential stakeholders, including university leadership and external partners.
- Capacity to perform challenging administrative tasks with minimal oversight.
- In-depth knowledge of organizational operations and the ability to represent the administration effectively.
- Demonstrated proactivity and creativity in solving complex problems.
- Excellent judgment in handling sensitive and confidential matters.
- Extensive experience in coordinating complex meetings with multiple participants.
- Strong interpersonal and writing skills, with a focus on organization.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Visio) is essential.
- Ability to work on-site in a fully engaged environment.

Preferred Qualifications:
- Familiarity with the operations of academic medical centers.
