Under the supervision of the City Librarian, the Executive Secretary II provides specialized administrative support for the City Librarian and Chief Operating Officer of the San Francisco Public Library.
This role demands a high level of discretion and confidentiality, requiring sound judgment in handling sensitive information.
Key Responsibilities:
- Manage the calendars for the City Librarian and Chief Operating Officer, facilitating meeting schedules and public engagements.
- Oversee the City Librarian's email and phone communications.
- Address inquiries from various stakeholders, including library patrons, city departments, elected officials, and library staff.
- Document minutes during internal meetings.
- Assist in fulfilling public records requests by providing necessary information.
- Coordinate travel arrangements, conference participation, public speaking events, and related expense reporting.
- Support the City Librarian's team in office management, including supply monitoring and mail handling.
- Administer a small budget for grant funding provided by the Friends & Foundation of the San Francisco Public Library.
- Order office supplies and submit requests for IT and facilities maintenance.
- Participate in and support special events, receptions, and library functions.
- Engage in special projects as assigned.
- Perform additional duties as required.
Work Schedule:
This is a full-time position with a standard Monday to Friday work schedule. Occasional evenings or weekends may be necessary to support special events. The primary responsibilities must be performed onsite, with potential for intermittent remote work upon prior approval.
Qualifications:
Minimum qualifications include:
- Two (2) years of verifiable executive secretarial experience providing personal and confidential administrative support for a manager, including appointment scheduling, meeting preparation, public inquiry responses, document review, confidential correspondence, research, and statistical report preparation.
- Alternatively, four (4) years of verifiable secretarial experience that includes editing and composing correspondence, data organization for reports, and maintaining office records.
Typing proficiency of 55 words per minute is required.
Substitution:
A recognized secretarial training program of 240 hours or the equivalent of 15 semester units in graded secretarial college units may substitute for up to six (6) months of the required experience, with proof of completion required at the time of application.
Selection Process:
The selection process will involve evaluating applications against minimum requirements. Meeting these qualifications does not guarantee an interview. Depending on applicant volume, additional screening mechanisms may be implemented to assess candidate qualifications more closely.
