Position Summary

The Administrative Coordinator plays a crucial role in delivering exceptional support to the executive team, ensuring effective communication with both leadership and colleagues. This position involves overseeing minor projects for the General Counsel and CFO, contributing to their operational efficiency. The role is primarily based onsite, with flexibility for remote work on designated days.

In this capacity, you will collaborate closely with senior management, proactively managing their schedules, meetings, and various initiatives. Your outstanding communication, organizational, and time management skills will be essential in maintaining professionalism and integrity while handling sensitive information.

Key Responsibilities

  • Perform essential administrative tasks, including calendar management, document handling, expense tracking, and correspondence support.
  • Assist with project-related activities, such as preparing documentation for audits and supporting finance or legal department initiatives.
  • Coordinate logistics and catering for meetings and events.
  • Document meeting minutes as required.
  • Arrange travel plans and manage itineraries for executives.
  • Respond to requests for the CFO and General Counsel's availability and input.
  • Conduct information gathering and maintain records for ongoing projects.
  • Provide backup support to general office staff and reception as needed.

Qualifications

  • Excellent verbal and written communication skills, along with strong organizational abilities.
  • Proficient in various computer applications, particularly Windows-based programs (Word, Excel, PowerPoint, and SharePoint), and adept in using Microsoft Outlook.
  • Ability to work collaboratively within a team environment.
  • Meticulous attention to detail and commitment to follow-through.
  • Dependable and capable of maintaining confidentiality.
  • Possession of a valid CA driver's license and CA Notary License.
  • Familiarity with Adobe software is a plus.
  • Ability to lift equipment weighing up to 50lbs.
  • Willingness to engage in standing, walking, and sitting for extended periods during shifts.
