Position Overview

This role involves providing high-level administrative assistance within a dynamic academic environment.

Key Responsibilities
  • Efficiently manage and coordinate intricate schedules for faculty and senior executives.
  • Organize and facilitate meetings, seminars, and travel arrangements for faculty members.
  • Maintain and update essential academic documents including curriculum vitae and publication records.
  • Act as a gatekeeper for faculty schedules, prioritizing tasks to meet critical deadlines.
  • Oversee office operations, ensuring compliance with record-keeping standards.
  • Participate in the creation and revision of operational procedures.
  • Handle procurement processes, including vendor agreements and purchasing transactions.
  • Process and track payments related to stipends and service agreements.
  • Review invoices for accuracy and collaborate with procurement teams to resolve billing issues.
  • Maintain a comprehensive database for service contracts and equipment maintenance.
  • Coordinate with facility management for maintenance and IT support.
  • Manage security protocols and access for the facility.
  • Assist in space management and equipment inventory oversight.
  • Provide backup support for various administrative functions as needed.
