Position Overview:

Location:
Onsite presence required 1-2 days a week or as necessary.

We are in search of a proficient Senior Executive Administrative Assistant to provide support to our CFO and the Finance department.

This role involves close collaboration with our CFO on various financial initiatives and interaction with other executive team members, playing a crucial part in our strategic objectives.


Key Responsibilities:
- Overseeing the CFO's calendar by proactively resolving scheduling conflicts and ensuring all meetings and appointments are maintained (close coordination with other Executive Assistants).
- Arranging travel logistics and managing expense reporting.
- Organizing and coordinating meetings of varying scales with internal and external stakeholders, including investors, analysts, and board members.
- Scheduling quarterly earnings preparations and risk management sessions for senior executives.
- Preparing for meetings by gathering and creating necessary materials; developing and maintaining presentations.
- Undertaking special projects and assignments on a diverse range of topics as requested by the CFO and Finance team.
- Anticipating needs, addressing challenges, and managing emerging issues proactively.

Potential Projects:
- Compiling annual goals and achievements for the Finance team, with quarterly updates.
- Creating board presentations and materials.
- Handling legal documents through electronic signatures or traditional methods.
- Organizing Finance team retreats and team-building activities.
- Coordinating conferences and non-deal roadshows for the CEO and CFO.

Qualifications:
- Proven experience supporting C-Level executives.
- Proactive mindset with the ability to foresee the CFO's requirements.
- Quick learner of new technologies, including collaboration tools.
- Proficient in MS Word, Excel, and strong PowerPoint skills.
- Excellent written and verbal communication skills, with a focus on reliability and timeliness.
- Detail-oriented, organized, and systematic, with a strong respect for structure and processes.
- Ability to thrive in a collaborative, fast-paced environment while meeting deadlines.
- Demonstrated ability to uphold high ethical standards, confidentiality, and professionalism, with a creative approach to problem-solving.
- Proven ability to build trust and communicate effectively with all levels of staff, exhibiting warmth and professionalism towards board members and clients.
- Must be able to sit and/or stand for extended periods in an office or home office setting.

Preferred Qualifications:
- Experience in supporting CFOs or in Finance roles.

Compensation:


For candidates in the San Francisco/Bay Area, the annual salary range for this position is $140,000 - $150,000, plus annual bonus and equity. Final offers may vary based on geographic location, candidate experience, expertise, and other factors.
