General Overview of Responsibilities

The Claims Support Specialist I performs essential administrative functions, providing assistance with various office tasks, managing telephone communications, and maintaining comprehensive and/or confidential documentation and records.

Key Responsibilities

  • Demonstrates exceptional customer service, collaboration, and dedication to organizational values.
  • Handles incoming calls, directing them to the appropriate individuals; offers information to relevant officials and staff as necessary.
    • Contacts members regarding upcoming or overdue deductible payments.
  • Manages and processes correspondence for the Claims Department, including stamping, logging, printing, copying, scanning, and distributing through various channels such as postal mail and electronic means.
    • Receives and uploads data from compact discs to the designated storage system.
  • Reviews financial reports against logs to ensure accuracy, reporting any discrepancies to the Claims Technical Assistant or supervisor for resolution.
  • Utilizes various standard office equipment effectively.
  • Contributes to the organization by executing directives as established by the Association.

Required Knowledge, Skills, and Abilities

  • Familiarity with standard office practices, procedures, and administrative support techniques.
  • Intermediate proficiency in business English, spelling, and arithmetic.
  • Understanding of departmental and organizational policies and programs.
  • Proficiency in standard office software applications, particularly Microsoft Office Suite including Outlook, Word, and Excel.
  • Ability to type accurately at a reasonable speed.
  • Capacity to follow both oral and written instructions, comprehend detailed policies, and engage in critical thinking.
  • Ability to operate various standard office equipment, including personal computers and related software.
  • Effective communication skills to establish and maintain productive relationships with colleagues, claimants, local officials, customers, and the public.

Education and Experience Requirements

  • Moderate experience (typically 3-5 years) in clerical roles, encompassing customer service, data management, and document handling.
  • High school diploma or equivalent educational background.

Physical Demands

  • This position may require occasional physical exertion of up to 25 pounds.
  • Regular tasks involve sitting, speaking, hearing, and using hands for various functions, with occasional requirements for standing, walking, and other physical activities.
  • Standard vision and vocal communication abilities are necessary for effective interaction and information exchange.
  • Work involves preparing and analyzing written or digital data, with no exposure to adverse environmental conditions.
