Job Overview

BrandStar Digital is on the lookout for a dedicated Business Operations Supervisor to oversee the daily functions of our organization. This role involves close collaboration with the President and various department leaders to establish daily priorities and significantly influence the workflow processes that contribute to the company's ongoing success and expansion.

The Business Operations Supervisor will be responsible for managing communications among team members, external partners, and relevant corporate support departments, ensuring smooth workflow and adherence to Accounting, HR, and IT policies and procedures. As a vital member of our team, this individual will champion strategic initiatives, implement industry best practices, and cultivate a culture of operational excellence to bolster the growth and success of our organization.

Key Responsibilities:

  • Team Support & Reporting: Assist the Account Management, Creative, Digital, and Sales teams in developing and tracking quarterly and annual objectives.
  • Goal Setting & Monitoring: Work alongside executive leadership to define organizational objectives and align operational activities accordingly. Track key performance indicators (KPIs) and metrics to monitor progress, pinpoint areas for enhancement, and drive operational excellence.
  • Business Planning: Contribute to the formulation and execution of the annual business strategy, ensuring operational activities align with strategic goals.
  • Workflow Optimization: Design and implement effective workflows and processes to boost productivity, streamline operations, and minimize costs.
  • Cross-Department Collaboration: Build and maintain strong relationships with internal stakeholders, promoting open communication and teamwork across departments. Collaborate with department heads to ensure operational activities align with strategic objectives.
  • Project Oversight: Manage the setup and maintenance of projects within the project management software, including overseeing billing schedules and coordinating with finance for inquiries.
  • SOP Development: Create Standard Operating Procedures (SOPs) in close collaboration with the team to develop and implement effective processes.
  • Meeting Coordination: Organize and lead weekly meetings for the Operations and Senior Leadership teams, ensuring comprehensive coverage of relevant topics and well-prepared agendas.
  • Time Report Analysis: Conduct thorough reviews of employee time reports for accuracy and completeness, identifying concerns and reporting to the Senior Leadership team.
  • Contract Management: Oversee and manage the contract renewal process with clients and vendors.
  • Financial Analysis: Analyze financial data and prepare reports for weekly finance meetings, including variance analysis and identifying action items. Ensure accurate revenue recognition and prepare detailed monthly dashboard reports, including time reports, P&L analysis, AR reports, variance reports, and fixed vs. variable analysis.
  • Special Initiatives: Lead special projects and initiatives as assigned, leveraging cross-functional teams to achieve desired outcomes.

Qualifications:

  • Bachelor's degree or equivalent experience in business administration is required.
  • Demonstrated experience in operations, business, and/or project management.
  • Strong verbal and written communication skills.
  • Exceptional organizational skills and meticulous attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • A high degree of professionalism in interactions with diverse groups, including employees at all levels, clients, and vendors.
  • Strong analytical and problem-solving capabilities.
  • Ability to make informed decisions regarding priorities and time management.
  • Capacity to respond with appropriate urgency to situations requiring quick turnaround and to adapt swiftly to changing circumstances.
  • Self-motivated, goal-oriented, and adaptable to a fast-paced and occasionally challenging environment.
  • Possess a positive, team-oriented attitude.
  • Proficient in MS Office Suite, with intermediate to advanced skills in Microsoft PowerPoint, Excel, and Word.
  • Familiarity with financial analysis and reporting.
  • Previous experience in an agency setting is advantageous but not mandatory.
  • Experience in a business services provider offering project and recurring services is preferred.
