Client Relations Specialist/Operations Support

We are seeking a Client Relations Specialist who is passionate about engaging with clients, possesses strong organizational skills, is adaptable, and demonstrates a commendable work ethic. This individual will oversee the reception area, manage order processing, generate invoices, conduct basic bookkeeping tasks, and assist with order management.
Position Overview
We are currently in search of candidates for a Client Relations Specialist/Operations Support role to act as the initial point of contact for our clients when they reach out or visit our facility. This role also involves handling product inquiries, coordinating shipping logistics, and performing various administrative duties.
The ideal candidate will be highly organized, detail-oriented, capable of managing multiple tasks independently, and possess a naturally positive demeanor. If this resonates with you, we would like to connect.
Key Responsibilities
- Welcome and assist clients who enter the office.
- Manage the telephone system; answer and route calls; take messages as needed.
- Handle email correspondence; receive and process incoming mail.
- Process product requests efficiently.
- Facilitate order entry.
- Generate and maintain invoices in collaboration with the accounting team.
- Coordinate outgoing shipments.
- Contact clients regarding order collection.
- Perform additional clerical and mailroom tasks as required.
Required Skills
- Previous experience in a customer service, clerical, or receptionist role is advantageous.
- Familiarity with graphic design is a plus.
- Proficiency in Office applications (Word, Excel) and UPS systems is desired; experience with accounting software like Quickbooks is beneficial but not mandatory.
- A strong customer service orientation is essential.
- Exceptional communication and organizational abilities are required.
- A high school diploma or equivalent is mandatory; higher education is preferred.
