Position Overview

Role Summary:

The Facilities Operations Specialist will support the National Account Director and the Management Team by ensuring smooth operational processes in alignment with company policies. This role is pivotal in delivering exceptional administrative support to enhance service quality for both clients and ABM personnel. Responsibilities include assisting in the pre-employment process for new hires, ensuring all documentation is accurately completed, and conducting necessary background checks.

Key Responsibilities
  1. Utilize ABM payroll systems effectively.
  2. Generate comprehensive reports for internal and client use.
  3. Facilitate the onboarding process for new team members.
  4. Input data into CMMS and other relevant systems.
  5. Deliver outstanding customer service to both clients and staff.
  6. Maintain accurate administrative records and documentation related to the account.
  7. Demonstrate proficiency in creating spreadsheets, applying basic formulas, and formatting as required.
  8. Assist in the preparation of presentations and written policies/documents.
  9. Process documentation for new hires and employees who are leaving the organization.
  10. Welcome and assist visitors in a courteous and professional manner.
  11. Perform additional tasks as assigned by Management.
Essential Qualifications
  1. High school diploma is mandatory; an associate degree or higher is preferred.
  2. A minimum of three years of experience in facilities maintenance or a related field.
  3. Exhibit a high energy level and maintain a positive, enthusiastic demeanor.
  4. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  5. Familiarity with hourly timekeeping procedures.
  6. Strong organizational and time management capabilities.
  7. Excellent interpersonal skills, including both written and verbal communication.
  8. Ability to collaborate effectively within a team setting.
  9. Demonstrate a sense of urgency in completing tasks and meeting deadlines; self-motivated.
  10. Capable of managing confidential information with discretion.
  11. Adept at handling multiple responsibilities while fulfilling standard duties.
  12. Exceptional written and verbal communication skills (bilingual in Spanish is a plus).
Work Environment
  1. Standard office setting.
  2. Maintenance shop environment.
  3. Occasional outdoor work conditions.
