Job Overview

POSITION SUMMARY

The Associate in Event Accounting plays a crucial role in supporting the Event Accounting team to ensure accurate billing for the Event Solution Line.

KEY RESPONSIBILITIES & EXPECTATIONS

  • Provide essential accounting and administrative support to the Event Accounting division.
  • Accurately prepare and maintain financial documents and records.
  • Process customer invoices using third-party invoicing platforms.
  • Handle customer expense reports to ensure timely and precise reimbursements.
  • Input critical financial transaction data into the database.
  • Assist the Accounting leadership with various projects and tasks as required.
  • Reconcile air-related transactions for Events, including but not limited to:
  1. Review air ticketing for all Events to guarantee correct client billing, utilizing reports from relevant systems.
  2. Examine air payments received from participants, ensuring all payments have been billed and received. Make necessary journal entries to allocate these payments and costs to the appropriate general ledger accounts and projects.
  3. Complete air reconciliation worksheets to accurately report air revenue, expenses, and contribution margins.
  4. Monthly reconciliation of the Wells Fargo ARC payable account with both the reporting system and the general ledger.
  5. Weekly import of all air tickets into project and general ledger accounts following ARC report submissions.
Continuously enhance job knowledge.Respond to inquiries from colleagues in a professional and timely manner.Conduct quality control on reports, spreadsheets, and reconciliations to ensure data integrity.Provide recommendations for process improvements to enhance efficiency.Distribute the weekly Event Jobs in Progress (JIP) report and any other necessary weekly/monthly reports.

QUALIFICATIONS

  • Associate's or Bachelor's degree, preferably in Accounting.
  • A minimum of two years of experience in a related field, customer service, or retail industry.
  • Strong organizational skills with the ability to manage multiple projects and prioritize effectively.
  • Proactive mindset with the capability to understand the broader context while recognizing how each component contributes to the overall project.
  • Excellent verbal and written communication skills.
  • Strong problem-solving and decision-making abilities, focusing on solution development.
  • Demonstrated sense of urgency, ownership, and accountability.
  • Professional representation of ITA Group in interactions with internal and external clients.
  • Proficient in personal computer applications, particularly Excel and Word.
  • Positive and professional demeanor.
  • Ability to listen, comprehend, and respond to the needs of both external and internal customers promptly; experience in customer service preferred.
  • Willingness to work the necessary hours to complete projects and meet deadlines.
