We are currently seeking a full-time Healthcare Coordination Specialist/Physical Therapy Administrative Assistant. The work schedule is Monday to Friday from 8:00 AM to 4:00 PM. Bilingual candidates in English and Spanish are preferred but not mandatory.

HEALTHCARE COORDINATION SPECIALISTKEY RESPONSIBILITIES
  • Warmly welcomes and fosters a friendly relationship with all patients and clients, including physicians and their office staff.
  • Communicates effectively with all team members, including clinical and administrative personnel, in a courteous manner.
  • Handles phone inquiries and greets patients with utmost professionalism.
  • Schedules appointments for new patients and gathers necessary information for insurance verification.
  • Accurately inputs patient data and demographics into the electronic health record system.
  • Submits insurance information promptly to ensure benefits are confirmed before the initial patient evaluation.
  • Explains patient benefits and addresses any inquiries thoroughly.
  • Confirms appointments for new patients.
  • Collects co-pays and outstanding balances prior to patient consultations, issuing receipts as required.
  • Collaborates closely with the Billing Department and therapy staff to ensure efficient patient flow.
  • Follows up with patients who miss appointments.
  • Manages treatment authorization and follow-up on continued care prescriptions.
  • Maintains patient confidentiality and protects sensitive information.
  • Reports on appointment statistics, including arrivals and cancellations, to management.
  • Monitors inventory of therapy supplies and communicates needs for ordering.
  • Adheres to HIPAA Policies and Procedures.
PHYSICAL THERAPY ADMINISTRATIVE ASSISTANTKEY RESPONSIBILITIES
  • Prepares treatment areas in accordance with established protocols.
  • Assists patients in preparing for therapy sessions, ensuring comfort and readiness.
  • Maintains cleanliness and availability of linens and supplies.
  • Records daily notes under the supervision of licensed therapists.
  • Responds to patient inquiries and provides necessary information.
  • Assists in patient treatment by applying therapeutic modalities and guiding exercises as directed by therapists.
  • Educates patients on proper equipment usage and exercise techniques.
  • Ensures confidentiality of patient information.
  • Maintains a safe and organized work environment by following established procedures.
  • Prepares and delivers equipment and supplies to treatment areas.
  • Conducts preventive maintenance on therapy equipment.
  • Monitors inventory levels and communicates supply needs.
  • Enhances the reputation of the therapy department by taking initiative and exploring ways to improve service delivery.
  • Disposes of waste at the end of each shift.
  • Reports any issues to supervising therapists.
MINIMUM POSITION REQUIREMENTS

Education and Experience
Education:
High school diploma or equivalent required; Bachelor's degree in Kinesiology or a related field preferred but not essential.
Experience:
1-2 years of experience in customer service and administrative roles preferred; experience in a medical or physical therapy office is required.
Physical Requirements and Working Conditions
Requires prolonged periods of standing, bending, and manual dexterity to operate office equipment. Normal hearing and vision are necessary for recording and presenting information.
