Position Overview

The Auto Care Association serves as the leading advocate for the auto care sector, comprising a vast network of independent manufacturers, distributors, parts retailers, and repair facilities dedicated to delivering quality and innovation to drivers nationwide.

We are in search of an outstanding Executive Assistant located in the DC Metro Area, offering a hybrid work schedule. This pivotal role involves providing comprehensive support to the President/CEO and the Board of Directors, necessitating both in-office presence and occasional travel.

Key Responsibilities
  • Efficiently manage the daily operations of the President/CEO, including scheduling, calendar management, meetings (both internal and external), and expense reporting.
  • Expertly coordinate various domestic and international travel arrangements for the President/CEO, ensuring precision and attention to detail.
  • Oversee the preparation and execution of meetings, including the creation of presentations, agendas, and necessary materials, while documenting notes and ensuring follow-up actions are completed.
  • Assist the President/CEO in developing PowerPoint presentations and communications related to member engagements.
  • Facilitate VIP Member visits by managing scheduling, catering, and coordination with members and external guests.
  • Collaborate with the events team to organize Board of Directors and Nominating Committee meetings, both virtually and in-person, which may include travel, preparation, minute-taking, and follow-up.
  • Develop resources for the Nominating Committee recruitment process, including scheduling candidate interviews and coordinating the voting process.
  • Maintain a confidential board portal with essential documents such as bylaws and committee assignments.
  • Regularly update and manage governance documents.
  • Engage in special projects and additional responsibilities as required.
Qualifications
  • A minimum of 5 years of professional experience supporting C-suite executives.
  • Highly organized, adaptable, detail-oriented, with strong time management and problem-solving capabilities.
  • Exceptional interpersonal skills with the ability to foster relationships with stakeholders, including staff, board members, and external partners.
  • Demonstrated ability to exercise tact, diplomacy, discretion, and sound judgment, particularly when handling sensitive information.
  • Proficient in utilizing various communication channels and technologies to efficiently complete tasks.
  • A collaborative mindset with a strong team-oriented approach.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), particularly in creating presentations.
  • Familiarity with office technology, including AV equipment and virtual meeting platforms.
  • Experience in a Microsoft Teams environment is advantageous.
Compensation and Benefits

The salary range for this position is $100,000 - $105,000, accompanied by a comprehensive benefits package that includes:
