IMPACT OF THE EXECUTIVE ADMINISTRATIVE SUPPORT ROLE

Act as the primary point of contact between the assigned Senior Executive (SE) and other senior management personnel, as well as staff members. Manage the workflow of various urgent matters within a dynamic schedule for the designated SE, while being mindful of the critical, sensitive, and confidential nature of these issues both internally and externally. Provide simultaneous support to multiple government personnel, typically ranging from 2 to 4 individuals. Maintain an understanding of the internal organizational structure and hierarchy, recognizing the interrelationships and operational styles of senior executives. Deliver a comprehensive array of direct executive office assistance for the assigned Senior Executive. Organize a schedule of appointments, assessing the significance of each meeting and adhering to established protocols for contacting relevant parties. Anticipate and investigate topics of interest for the SE, preparing necessary background materials and talking points. Oversee and coordinate the impacts of email communications regarding action items, extracting relevant items from staff meetings and reports, and establishing a reminder system for deadlines. Assist the assigned SE by managing a variety of complex executive office tasks that involve exposure to highly sensitive and confidential information. Draft and prepare non-standard correspondence, memos, documents, and reports that require a thorough understanding of agency policies and procedures for the SE's endorsement. Handle phone communications, screening and directing calls to appropriate agency resources, taking messages, and ensuring timely follow-up for issue resolution. Prepare for visitors by initiating necessary security clearances and providing escort services as required. Research and compile background information and talking points for meeting attendees and topics of discussion. Distribute the executive's schedule to relevant staff and serve as a liaison between the Senior Executive and others. Receive, categorize, and prioritize incoming mail, utilizing initiative to draft responses for signature and gather background information from various sources. Summarize extensive correspondence, emphasizing key issues and ensuring appropriate follow-up actions are taken. Develop and maintain accurate records and filing systems. Schedule appointments, arrange travel, and prepare itineraries, ensuring that all necessary briefing materials are assembled. Accurately prepare expense reports and inform the SE of any issues that arise during their absence. Foster an efficient office environment, which may include assisting with supply orders, arranging equipment repairs, initiating software installations, or participating in office renovation planning. Provide backup support within departmental divisions as necessary.

QUALIFICATIONS FOR SUCCESS

Active Top Secret/SCI with Polygraph clearance is required. A Bachelor's Degree along with a minimum of five years of relevant administrative experience, or at least nine years of relevant administrative experience. At least one year of experience within the Intelligence Community performing the specified Contractor Performance Requirements for this role. Proven proficiency in MS Office Suite applications at an advanced level to execute both routine and complex tasks. Strong oral and written communication skills, capable of crafting clear and concise responses to complex inquiries. Exceptional customer service abilities, demonstrated by proactively addressing the needs of the assigned Senior Executive. Analytical skills to assess and interpret complex information from multiple sources, drawing insightful conclusions.
