Job Overview

Fawkes IDM is in search of a dedicated Billing Specialist to enhance our financial team. This role is crucial for managing the complete billing cycle, from initial prebill preparation to the issuance of final invoices.

Key Responsibilities

  • Overseeing the transition from prebill to final billing, ensuring that partners receive and respond to accurate prebills promptly. This includes finalizing and dispatching bills or eBills in a format that meets client specifications, as well as confirming submission and posting in the accounting system.
  • Working closely with the eBilling team to establish new client setups for electronic billing requirements. This involves submitting invoices electronically, ensuring successful submissions, and addressing any issues that arise, along with proactive follow-ups on eBill acceptance.
  • Reviewing billing rates with the Rates team and implementing outside counsel guidelines, which includes monitoring fee caps, tiered discounts, and matter budgets. Communicating with management regarding any discounts, write-downs, or write-offs.
  • Addressing inquiries related to accruals, audits, and payment processes.
  • Maintaining current prebill status reports and monitoring billing figures on a daily basis.
  • Managing client trust accounts, ensuring accurate payment allocation and resolving unapplied funds throughout the duration of the assigned portfolio. Keeping partners informed about available, unapplied, and trust funds, applying them when necessary.

Qualifications

  • Bachelor's degree in Accounting, Finance, or a related field is preferred.
  • Experience in a law firm or professional services environment is advantageous.
  • Proficiency in Microsoft Office, particularly Excel, is essential.
  • Familiarity with Aderant Expert or Elite Enterprise (3E) is preferred.
  • Strong client service orientation and ability to work collaboratively.
  • Excellent communication skills for presenting information clearly and concisely.
  • Proactive approach to enhancing the value of the role.
  • Willingness to work additional hours as needed.
