Job Summary

We are seeking a highly skilled and organized Client Coordinator to join our team at BakerHostetler. As a key member of our support staff, you will be responsible for providing exceptional administrative support to our attorneys and clients.

Key Responsibilities
  • Manage client relationships and communications, ensuring timely and effective responses to client inquiries.
  • Coordinate travel arrangements, including itineraries, accommodations, and transportation.
  • Prepare and edit documents, including agreements, letters, and other form documents, in accordance with PW formatting protocols.
  • Track and manage client trust administration, including invoices, payments, and bank account information.
  • Coordinate with the DC office Continuing Legal Education (CLE) Coordinator to track attorney bar dues and CLE state reporting requirements.
  • Provide quarterly reporting to lead partner on top clients, referrals, and prospects.
  • Manage attorney Outlook contacts and separate industry contact lists.
  • Oversee prospect tracker and follow-ups, including sending mass marketing emails to attorney contacts.
  • Track leads with Salesforce and assist with discovery and onboarding efforts.
  • Prepare, send, and track letters of engagement, update excel chart for billing, and schedule Annual Summits with clients and their advisors.
  • Manage charitable and volunteer efforts, including the American Heart Association and UMD Dingman.
  • Perform other administrative tasks as assigned.
Requirements
  • Bachelor's degree and 2-3 years of relevant experience as a legal secretary or executive assistant in a law firm or equivalent combination of education, training, and experience.
  • High level of proficiency with Microsoft Office and Microsoft Teams, including a strong working knowledge of Excel and Adobe.
  • Demonstrated capability to maintain confidentiality and handle sensitive information.
  • Ability to effectively organize workflow and utilize time efficiently, with a strong attention to detail and ability to perform at a high level in a fast-paced work environment.
  • Strong interpersonal communication skills necessary for maintaining effective relationships with attorneys and staff, as well as external contacts.
