Job Title: Facilities Coordinator

This role is responsible for the day-to-day coordination and execution of facilities-related services for all firm personnel. The successful candidate will be responsible for planning and supervising office moves, maintenance, and repairs, as well as delegating daily workloads in the facilities department.

Key Responsibilities:
  • Maintain internal work orders, security, and building systems.
  • Coordinate and supervise inter-office moves of firm personnel and property.
  • Activate/deactivate security access cards in vendor's web-based program.
  • Coordinate repairs and maintenance of firm property.
  • Ensure that building-related work orders are entered in web-based system correctly and timely.
  • Process invoices for payment, including reviewing, timely receipt, and coding to proper accounts.
  • Ensure that supply orders are placed with vendors in a timely manner.
  • Assist with asset management, tagging items, and entering asset information into computer asset program.
  • Order and maintain inventory of office supplies and stationery.
Requirements:
  • High School Diploma; some college.
  • Five years facilities experience or facilities-related role.
  • Knowledge of proper lifting techniques and best practices for moving furniture.
  • Familiarity with building code and management rules.
  • Familiarity with Americans with Disabilities Act regulations.
  • Ergonomic certification.
Working Conditions:

The job is performed in a typical office environment, but is subject to time pressures and constraints. Ability to stand and walk for long periods of time. Occasional overtime, including weekend work, may be required. Ability to lift 50 pounds without assistance.
