Job Summary

The Audio Visual Operations Specialist will play a crucial role in supporting the overall functioning of the Conference Center, overseeing event inquiries, planning, and on-site execution of various events. This position is dedicated to delivering outstanding customer service while leveraging expertise in audio and visual technology to assist the Conference Center team and collaborate with the Booth AV team.

Responsibilities
  • Act as the primary contact and audio visual expert for the Conference Center Sales team during the inquiry and proposal stages, as well as for the Conference Center Services team during event planning and execution.
  • Provide solutions and expertise on various audio visual technologies, including video conferencing, webcasting, and equipment setup.
  • Work closely with clients and Conference Services Managers to ensure successful execution of events requiring dedicated technical support.
  • Engage with clients through various communication methods, including meetings and site tours, to ensure clarity and accuracy in event planning.
  • Deliver on-site audio visual support during events, which primarily occur during standard business hours, with occasional evening and weekend responsibilities.
  • Identify equipment needs and coordinate with external vendors when inventory requirements exceed available resources.
  • Collaborate with the Booth AV Team Lead to align the weekly AV schedule with business needs.
  • Manage relationships with AV vendors, including placing orders and processing purchase orders for outsourced equipment and services.
  • Serve as the escalation point for any audio visual service issues that arise during or after events.
  • Quickly report equipment malfunctions to the Booth AV team and arrange for maintenance as necessary.
  • Reconcile monthly invoices related to audio visual equipment and services to ensure accurate billing.
  • Participate in discussions regarding audio visual service enhancements and upgrades for Conference Center facilities.
  • Contribute to daily BEO meetings and assist in generating audio visual labor reports to support event planning and inventory management.
  • Research and propose new technologies to enhance the guest experience.
  • Develop and implement audio visual packages in collaboration with the Sales and Services Directors.
  • Install, operate, and troubleshoot various audiovisual systems, ensuring compliance with standard operating procedures.
  • Support academic and public events with projection services and presentation assistance.
  • Perform additional related duties as required.

Minimum Qualifications

Education:
Vocational training or equivalent experience in a related field is required.

Experience:
A minimum of 5-7 years of experience in a relevant role is necessary.

Preferred Qualifications

Education:
Bachelor's degree is preferred.

Experience:
Technical training and experience in an academic or hospitality setting are advantageous.

Technical Skills or Knowledge:
A minimum of three years of technical experience in audio visual support, including proficiency with various presentation technologies and software.
